Challenge Summary

Welcome to the "GE - Customer Training  Management Tool Wireframe Design Challenge". In this challenge, we are looking for you to help organize and plan a great user experience for our Customer Training Management Tool. 

The Customer Training Management Tool is an application that allows the GE OTR (Order to Remittance) Team manage "Training" packages (consisting of different types of training courses) as part of the customer RFQ (Request for Quotation) process. Essentially as internal or external customers request potential GE services they can also request "Training" to be included as part of that service, and the Customer Training Management Tool is used to manage all the details, organization, generate proposals and the delivery of the Training packages.

We are looking for you to learn about this process and create a set of modern, intuitive application wireframes that helps the GE Technical Training team and Project Managers manage the intake and processing of training requests. We are looking to optimize the entire process from the initial request through the output of potential training packages to the configuration of the training team and finally the reporting of metrics, costs, etc.

At the end of this challenge, we are looking to see intuitive and easy to use (requiring no training) "wireframe concepts" that will help us design and build UI/UX in the next phase of this project!

Challenge Description
The Purpose of this challenge is to plan and design wireframes that help define the flow of the application. We are looking for the Topcoder Design Community to help us with planning our new "user experience" (UX) for this application.

Challenge Goal
Wireframe an application/tool to help the OTR (Order to Remittance) team be able to view quickly training requests and view signed training proposals by the ITO (Inquiry to Order) team. The OTR team will want review all proposals and use this application to quickly view training parameters, review different combinations of training packages and have the ability to optimize the deal. This tool should help the team to manage the backlog and execute and maintain projects.

The tool receives information from ITO phase and this is saved "as sold" (baseline of the project). The OTR manages the project and optimizes costs, resources etc. and the tool should be able to measure and track productivity.

-Regions should have a "partial view" of the projects (only the one scheduled in that region) … and be able to see their facilities and trainers workload

Screen Flow
00. Login Screen
- User needs to login to be able to use the application 
- Provide login form for the user to enter their credential
- Needs error scenario for the wrong credential
- Remember me, Reset password features.

01. Dashboard
- After successful logging into the application, the user will arrive on their dashboard
- Show summary information related to the application activity and user activity on this page
- Use will be able to see all projects and related backlog from this screen. 
- Pending tasks, project list, notification, and other features that necessary and important in the dashboard.

02. Project Details
- Show project progress/status
- Show all pending task that needs to be completed
- User will be able to see and manage backlog 
- The backlog is proposals that need to be reviewed, options generated and prize optimized.
- In the current system, the backlog is maintained in Excel. We must move away from this flow and have the backlog be part of the new application. 
- ITO and OTR User will collaborate to manage the progress of a request (step-by-step) from this page. 

03. Proposal Checking
- The user will receive training requests from an Internal/External Customer who would like to add training to their proposal
- The proposal will cover the course general scope along with any Supply for the "Training" package (consisting of goods and services).
- The proposal files and documentation can be received from an inquiry RFQ (Request for Quotation), it can be an e-mail or via Customer Training support central
- Information Required:
-- Course subject (Type of Machine),
-- Course typology (course for Operators, Maintainers, etc.),
-- N° of trainees per course,
-- Training location,
-- Course and teaching documentation language,
-- Training period requested,
-- Organized logistics (travels, hotels, meals, etc.).
- If the customer proposal fails to provide some of the above elements (except for the first 4, which are essential), CUTR ITO will, however, supply a "standard" proposal, with parameters chosen by it

04. Contract Review Preparation
- The user will proceed with the contract review to assess with the risk process (ITO-QMS-01) that cover the feasibility of the requested Service/Supply. 
- The user will set the tariffs/cost that needs to be applied for the courses and the relevant application procedures by the course location, the number of trainees and the course length, by the 'Business Objective' related the to the subject function.
- Currently, we use a Proposal Generator created using VBA interface developed in Excel which is used by the user (ITO team) to establish prices and margin for the subject offer according to the assumed costs entered. The Proposal Generator also allows tracking quotation process up to Order receipt. The information collected are afterward exported and saved on a dedicated Reporting tool in VBA Excel that will allow the PM, who manages the course, to monitor the job from the economic point of view. (We are replacing this flow as part of this new application)
- The application will be able to check and convert from any currency (if the tariffs/cost have different currency).
- The courses are confirmed to the customers after agreeing with them on all the technical/economical aspects. This assertion is clearly included in the offer which shall also indicate the offer deadline.
- The offer shall also make reference to the standard T&C standard, which governs the training obligation fulfillments for either party. 
- The form for the offer issue shall be completed in full by the person authorized by the user (ITO team). 
- Any offer shall be recorded in our Salesforce Application (another system) which generates the relevant reference number (for ex. 32 XXXXXXXX). The offer is then submitted to the check/approval by the superior concerned. According to the entity of the offers into play, the deviations found, and the modifications required are communicated verbally (if of little entity) or by means of written notes on the draft examined. 
- Communication for the drawn Offer is moreover sent to Customer Training ITO Leader and/or the Customer Training Manager.

05. Contract Order Review
- On receipt of the order, other users (offer editor) shall verify whether all the parameters indicated in the offer are mentioned, indicated as in the offer and with the same values as in the quotation. 
- In the case of difference, the operator shall analyze those clearly indicated in the order with the CT Manager and with the legal entity if needed  who shall then decide the actions to take according to the general and the specific situation of relationship with the customer, etc. 

06. Course planning and instructor selection
- The courses are planned considering the mutual availability of the customer’s and CUTR’s personnel availability. According to the agreements reached, CUTR transmits the schedule indicating the dates on which the courses will be held. The length of the single courses is established in the order. 
- Failing the job contract documentation, the course organization would be substantially prevented.
- The teachers (Internal personnel and/or outside collaborators) necessary for the course running are selected by the Technical Team as a function of the skills required, availability, and language. The list of internal teachers and relevant CV are available in a file, always updated, directly managed by the OTR team. The External teachers are selected among CT qualified Suppliers as per procedure.
- The user will be able to check how many trainers are eligible for the training type and view the trainer list. 
- The user will be able to drill down to see details of the trainer personal information, skillset along with any courses offered by the trainer. 
- The user will be able to compare trainers to see which one of the trainers is more beneficial when it comes to cost aspect, and to compare details of master data management (technical training that they offer). 
- Maintain the technical training available (who is available)
- Cost associated with a specific Trainer
- Exchange Rate would need to be shown in this screen too
- Scheduling - we need to know who is available/not available..dates (scheduling)
- Be able to see the views

07. Issue of the Order Acknowledgement
- On receipt of a direct order in conformity with what agreed upon, the user shall send the external customer an official confirmation document. 
- The order confirmation form shall be completed in full and signed by the person in charge of the office or unit according to the amount in question, by the signature proxy granted. 
- It must be recorded at least in an electronic file since it is a mandatory document for issuing the invoice related to the provided Service.
- Regarding the indirect orders, CUTR does not issue the order confirmation as it is issued by the inside customer. 

08. Opening of training job and recording
- On receipt of the order, the user shall generate, via Oracle (another system), a number of costing project  "062.XXXX" (job number) for any sale made by the Unit or support service sold by the inside customer.  
- User shall then record and directly activate the contract C_062.XXXX in Oracle. Are an exception the orders received from the Turbomachinery Unit, for which the training job shall be entered in Oracle as shipping line against the mother contract. 
- The Job generated in Oracle will be processed by the user in Order Booking Process (OBP) tool for Reporting purposes. The exception is done for Jobs generated as a consequence of Intercompany Legal Entity for whom will be created and processed in OBP a dedicated Excel File with Job data.
- The hand-off from the ITO team to the OTR team is made by an e-mail (CT manager must be copied) containing documents Nr. 1,2,3,8 (See Par. 5.11 A) sufficient for training organization and planning. In the email, there is an Oracle automatic report containing the contractual information saved in the Company system.
- The tool should allow the PMs to make a manual planning and scheduling also for projects that are still in ITO phase.
- In case the training is planned to be executed within a short time OTR nominates the Project Manager.
- Data to be included:
-- Price. In the same currency as that of the sale contract.
-- Supply description. A general description is sufficient, on condition that it is inclusive (goods or object of the service, service length, delivery place, language used, No. of trainees). 
-- PO (Purchase Order) references of the customer (in the case of direct sale ) or mother Job No. in case of indirect orders. 
-- Customer Code (or the two codes, in the case of presence of intermediate Engineering company). If the customer code is not available in Oracle, it is necessary to let a new code activated by the Billing Unit (by asking for a new “customer coding” to CMF system). 
-- Administration Note for inside customer. Revealing the administrative action to be carried out on the service performance.

09. Phase of Review, Verification and Approval of training documentation
- The training manual can be provided in three different formats:
-- Hard copy format
-- Electronic soft copy format, downloading the manual from Customer Training internet portal www.geoilandgastraining.com
-- Tablet Application electronic format. In this format, upon dedicated quotation and order from customer,  customer will receive access to the training manual in IOS or Android application format

- Phase of Review:  The Training manual is an extract of the technical job documentation (instruction books for machine, plant, if any, and/or SW) delivered to the customer together with the delivered equipment. So the engineering department has already validated the content. If the job documentation is not ready yet and the course cannot be postponed, by mutual agreement with the customer CUTR shall prepare a manual, consisting of general descriptive sections regarding the machines or similar equipment. CUTR/OTR personnel dedicated to these activities do the phase of the review of the job documentation and the manuals assembly. The documentation supplied to the customers reflects the syllabus supplied to them. The language is that indicated in the order. In the order is also indicated the number of trainees; the manuals shall be prepared for any trainees and teachers involved (teacher and interpreter, if required) 

- Phase of Verification:  Once the manuals have been assembled they will be available in the folder \\CTUFFNPGE\CT Manuali\Manuali_in_progress ,verified and signed by the Instructor’s Leader or by the Training manager

- Phase of Validation: the Training Manager does this phase and signs the manuals.

- Once the manuals are validated the OTR personnel who made the manual composition give the printing order and after that, the manuals are shipped to the course venue.

10. Training Validation
- An attendance list is drawn up for any course. 
- At the end of the course, the teacher asks the attendees to complete an acceptance form, which is the formal evidence of the training service acceptance. This form will be given to the PM. This document will allow the service invoice. 
- If requested by the customer, at the end of each course the trainees make a test to check the knowledge level after the training.
- The trainee will then receive an attendance certificate as evidence of the participation in the course. 

11. Verification of Training Quality and CT Quality Target 
- At the end of the courses, the trainees shall fill an assessment form (PPO-A-02-04 Annex 2, The forms are translated into the main languages), which is the formal proof of trainees’ satisfaction level. After the delivery of the forms completed by all the trainees, the teacher shall deliver them to the reference PM, who will proceed with entering the evaluation. These evaluations are analyzed and measured periodically to verify the quality of the service and take the corrective actions when needed.
- CT target is at least a mark of 4 points for every field in the final assessment  (see Annex 2) as well as NPS (NET PROMOTER SCORE) above 50. 

12. Documentation archiving
- The current session establishes the filing procedure for the documentation to be used to give evidence of the correct course management and the recording procedure in files divided by sections as illustrated in the Documentation Filing Outline.

Appendix
- ITO: Inquiry to Order, business process stage existing between the Inquiry and the Confirmation of Order from the Customer. This stage is managed by the ITO team.
- OTR: Order to Remittance, a business process stage which goes from the receipt of the Customer’s formal Order to the verification of the supply payment. This stage is managed by the OTR team. 
- CUTR: P&L Customer Training, which manages the customer training activity
- CUTR ITO: the ITO team inside the P&L CUTR.
- CUTR OTR: the OTR team inside the P&L CUTR.
