Challenge Summary

Welcome to the "IFA Client Onboarding Admin Desktop App Concept Design Challenge". In this challenge, we would like you to continue designing the client onboarding experience for our multinational financial service provider client. This time we concentrate on the IFAs (independent financial advisors) administration flow for desktop. We are again looking for creative ideas taking into account the previous challenges' results.

Read the challenge specification carefully and watch the forums for any questions or feedback concerning this challenge. Let us know if you have any questions in the challenge forum!

Challenge Objectives

  • User interface design
  • 8 screens
  • Desktop screens of 1366px width.

Project Background

  • Our client is a financial service provider which is planning a strategic move towards increasing collaboration with independent financial advisors (IFAs). The idea is to let the clients of IFAs to use the infrastructure of our client, and your task is to design the admin tool for the IFAs to facilitate all the tasks they need to perform concerning the onboarding process of the end users.
  • Currently IFAs have several not unified ways to collect initial information concerning their future clients’ financial position. There is no app used, the IFA needs to sit with the client and go through the forms.
  • By introducing the onboarding tool, our client would like to simplify the process and offer the IFAs a possibility to customize the questions being asked from the end user. In this way both our client and the IFAs be able to cover all the information they need from the end users, and the data can be sent both to our client’s systems and to the IFAs CRM systems as well through our client’s API integration.
  • We already ran a design concept challenge for the mobile flow and the tablet and desktop versions are also in progress. Analyse the winning designs and consider them while designing the IFA admin tool.

User Roles

The system has the 2 following user types:

  • IFA (in scope): The Independent Financial Advisor would be provided with an administrator surface where he can set up his questionnaire for his future clients. The tool would provide him generic questions which he can modify according to his needs. He can then provide a link to his future clients to fill in the onboarding form. Upon receiving the data from his client, the IFA can export the data to his own CRM for further use. The IFA can also customize the app visually by adding his own logo to it.
  • End User (out of scope): The end user is the future client of the IFA who would like to invest his money with the help of the IFA using our client’s infrastructure. When he is ready to engage, the IFA will send him a link to the onboarding form/tool. Through the proposed tool the end user will fill in all the necessary data. The form will be available to him offline as well, so even in places of weaker connection his task will not be compromised. Whenever he is ready with the form, he can submit it to the IFA.

Screens/Features

Please make sure your design includes the following screens and incorporate the following functions. This is a concept challenge, so you are welcome to think outside of the box and come up with a better arrangement of functions.

1. Login

We need a simple login form for the IFA. We assume that they are already users of the system, so no sign-up feature is needed for now.

2. Dashboard
  • As a landing page the dashboard will show the most important metrics to the IFA. What would be those and how would you represent them? (E.g. number on assigned vs filled in forms, number of new clients, forms to be synced, etc.).
  • In addition, a list of customers with assigned forms should be shown to the IFA on the dashboard along with statuses. Let’s give the IFA a filtering function so he can find data easily on the dashboard.
  • The most important functions would be nice to have their own links (buttons) besides the navigation e.g. adding forms, adding clients, syncing forms.

3. Form List
  • A list of already created forms with relevant data in the list should be shown, e.g. the name and ID of the form, how many questions it includes, how many clients has already filled it, and how many is in progress. We are opened to ideas that would help the work of the IFA.
  • A list should be filtered to let the IFA find the right forms easy.
  • There has to be a link for new form creation.
  • Come up with a way of easy form assignment to the customer. Is this better from the form list or from the customer list or both?
  • Syncing of newly filled in forms should be allowed.

4. Form Creation
  • The IFA should be able to create forms with different content. They can use templates for this, which are provided by our client.
  • The forms can contain different input forms, like textboxes, dropdown lists, radio buttons and checkboxes, date pickers, text areas.
  • Since the data the IFA gets back form the customer will be synced to our clients databases, we need to have a mapping function of the IFA’s questions to our clients database fields. Please incorporate a method for this task.

5. Customer List
  • A searchable, filterable list of the IFA’s customers should be shown with relevant data, like name, ID, e-mail address, statuses etc. What are the most important things about the customer to show here?
  • There should be a link to add new customers to the system.
  • There should be a way to assign forms to the existing customers.
  • Syncing of newly filled in forms should be allowed.
  • Exporting of newly filled forms should be allowed.
  • Some customer metrics could be shown on the top of the page.

6. Add Customer
  • Supply a form for adding new customers with relevant data fields.
  • You might already offer form assignment at the end of the flow.

7. Reporting
  • Allow the IFA to create meaningful reports, like monthly, weekly activities or client lists etc.

8. Settings
You have to provide a surface for the following settings for the IFA:
  • UI branding: the IFA should be able to set the color theme of the app(s) and upload his/her logo as well for branding purposes.
  • Template messages: The IFA should be able to create template messages for the customers to use to communicate with his/her customers, for instance when he/she assigns a form to the customer and invites the latter to fill in a form. This can also include branding and placeholder customer and form data (e.g. customer name, title, form name, etc).
  • Basic profile settings: user name, password, e-mail etc.
  • Syncing settings: If the IFA has a suitable CRM system, he  should be able to set up the automatic syncing function.
  • Notifications: about what does the IFA would like to get notification?
