Challenge Summary

Welcome to "ABC - MPS Portal Design Refinement Challenge". In this challenge, we are looking for your help to update and refine our MPS Portal with the latest request from ABC client. This portal currently used by our client as a way to manage all 'queries', make them logged through this portal in a standardized manner, removing email, Skype or phone requests logging, and having instant reporting capabilities.

Round 1

Submit your initial Design Updates for a Checkpoint Feedback
  • As part of your checkpoint submission, you must upload your submission to MarvelApp so we can provide direct feedback on your designs. Please include the MarvelApp URL in your notes.txt. 
  • Make sure all pages have the correct flow. Use the proper file numbers, (1, 2, 3, etc.)

Round 2

Submit your Final Design plus Checkpoint Updates
  • As part of your Final submission, you must replace your checkpoint submission with the final submission into MarvelApp so we can provide direct feedback on your designs. Please include the MarvelApp URL in your notes.txt.
  • Make sure all pages have the correct flow. Use the proper file numbers, (1, 2, 3, etc.)

BACKGROUND OVERVIEW
  • Our Business has reported revenue leakages due to the number of unbilled documents and the lack of visibility on the owner of the pending actions for overdue invoicing cases. Invoicing backlog completion depends on getting the missing information from many parties and the inputs/feedback cannot be automatically tracked. Workflow management and customer follow up are challenges for Operations due to manual interactions and obsolete ticket management technology using SharePoint.
  • This portal goal is to solve the problem and allow the users to:
    • Manage and process all missing info queries for invoicing in a standardized manner
    • Able to remove email, Skype or phone requests logging 
    • Improves our way to provide reporting, tracking and managing query
 
CHALLENGE GOAL
  • Update and Refine the UX flow and UI screen for this application based on the latest client request while keep maintaining our branding design to be consistent
 
DESIGN CONSIDERATION
  • Needs to follow our Branding Guidelines (latest design)
  • Responsive Web Approach - Targeting Desktop for now, with a possibility to develop it further for responsiveness in Mobile and Tablet 
  • Simplicity to find and view any necessary information 
  • Professional, and Modern look and feel
  • Easy to understand the flow from page to page
  • Intuitive for the user; should never be left asking "what do I do next?"
  • Easy viewing for pages that may be over overcrowded with information (eg. when hovering over an item will enlarge for easy viewing or similar)
  • Looking forward to seeing some ideas beyond our concepts (Feel free to add more screen ideas related to our product!)
 
CHALLENGE FORUM
 
DESIGN UPDATES/REFINEMENT REQUEST
01) Enable Escalation Flag

  • In ticket escalation mailing enablement: new window open in mail body
  • Ability for Management users to select a query or group of queries and click the button “Escalate”
  • The Portal should summarize a list of queries selected, open a pop up window to populate “TO”, “CC” and “BCC” sender email addresses
  • The subject should be “Escalation, “Country filter selection” and the body should have a predefined message (both editable should the management user chose)

02) Follow Up Option: Reminder Mailing

  • The ability for Management Users to select a query or group of queries and click “send e-mail button” to the respective SDM/ SDMs asking to prioritize and respond. 
  • The Portal should, based on the user name, have the ability to add in the e-mail subject: “User name is sending you a message” and a predefined e-mail body template. But as well allow the user the capability of editing the subject and body (could be a pop up window).
 
03) Visible BU Dependency: Ownership clarity

  • The requester can edit FEP entry and change details in the form: 
    • Query Type 
    • Sub-Type
    • Country
    • Account name
    • AMPID
    • Billing Index
    • Billing start and End date
    • Value to be billed
    • Currency 
    • Due date
    • SDM name
    • DMPS/PMPS
    • Add remove watchers
    • Also, remove attachments and re-attach documents
  • Any change performed needs to be logged for audit purposes
  • The submitter will not be able to change the status (cannot close the ticket) This should be driven based on the Profile (CA profile not able to close requests only SDM)
 
04) Dynamic Query Update: "Live" tickets

  • SDM/CM Profile to be able to perform updates on items to point out where the information is missing from
  • New field called MI Action owner to be added in as a dropdown in the existing  form and enabled for SDM/CM selection together with the comment field while all other fields will remain blocked for editing
  • The user will be able to press Edit button upon selecting one or multiple items
  • Once the selection is performed the Edit option will be displayed, when pressing the button the form will open and the two open fields will be available for The SDM/CM to update MI Action owner and Comment field
  • All comments need to be captured in the export to excel option in chronological order
 
05) User Friendly Dashboard

  • Customizable  Dashboard that will display data in real time based on the queries submitted in the portal. 
  • The Custom Dashboard will replace the current View in the top banner. 
  • The business would like a single view stacked bar chart that will display items based on predefined  ageing  buckets (less than 3, between 3 and 10 and more than 10 days). 
  • The data will be displayed based on the filters the user will add. Filter option should be:
    • Status
    • Open Month
    • MI Action owner
    • Country
    • Week of Opening
  • This needs to be visible to all users. A download button should be enabled for capturing the data based on the filters added.
  • Make sure to check the spreadsheet in the PPT (slide 12)
 
06) Filtering Box: Dynamic View

  • The Filtering Screen needs to be enhanced to capture the new added fields:
    • Status
    • Open Month
    • MI Action owner
    • Country
    • Week of Opening
  • Multiple selection in Dropdown Fields will need to be enabled as the Dashboard be updated based on the filtering selection in the top banner 
  • In the grid screen (lower part displaying the items) the filtering capabilities continue to work as today and narrow down the displayed queries based on filter selection.
 
07) Accurate header allocation: Clear fields

  • SDM email field name to be changed to Missing Info owner
  • Missing Info Action Owner to be introduced as new field in dropdown format
 
08) Selective OwnerShip: Accurate Mapping
See "FEP CRs Detailed.pdf", slide 13 and 14
  • Add a mapping table in the user access management screen that will display the team that the user is part of
  • This needs to be selectable when new users are added to the Portal by the Super User
  • When the user is added as a Missing Info Owner the Missing Info Action owner will be defaulted with the team the user is part of
  • If the Missing Info Action Owner needs to be changed the SDM will need to manually map it using the above Edit Option
 
IMPORTANT:
  • Keep things consistent. This means all graphics styles should work together
  • All of the graphics should have a similar feel and general aesthetic appearance
 
MARVEL PROTOTYPE
  • IMPORTANT!! Make sure your design is clickable to demonstrate the flow, this will be a plus point in the review phase
  • We need you to upload your screens to Marvel App

  • Submit JPG/PNG image files based on Challenge submission requirements stated above
  • MarvelApp link for review and to provide feedback
 
Source Files
  • All source files of all graphics created in either Adobe XD (Most Preferred and Recommended), Adobe Photoshop, or Sketch and saved as editable layer
 
FINAL FIXES
  • As part of the final fixes phase, you may be asked to modify your graphics (sizes or colors) or modify overall colors

How To Submit

  • If your submission wins, your source files must be correct and “Final Fixes” (if applicable) must be completed before payment can be released.
  • You may submit as many times as you'd like during the submission phase, but only the number of files listed above in the Submission Limit that you rank the highest will be considered. You can change the order of your submissions at any time during the submission phase. If you make revisions to your design, please delete submissions you are replacing.

Winner Selection

Submissions are viewable to the client as they are entered into the challenge. Winners are selected by the client and are chosen solely at the client's discretion.

Your Design Files:

  1. Look for instructions in this challenge regarding what files to provide.
  2. Place your submission files into a "Submission.zip" file.
  3. Place all of your source files into a "Source.zip" file.
  4. Declare your fonts, stock photos, and icons in a "Declaration.txt" file.
  5. Create a JPG preview file.
  6. Place the 4 files you just created into a single zip file. This will be what you upload.
