Welcome to the "HAL Best Practices Promoter, UI Design Concepts Challenge."
Our customer is looking for your help to create an engaging user interface for a system that will manage Best Practice knowledge for a connected set of users. There is an innovative structure mapped out for these users’ workflows. Now, we need to show how they might view and interact with the tool, using the most current and user-friendly practices.

APPLICATION BACKGROUND & OVERVIEW
HAL is a provider of oilfield services around the globe. They have access to a huge amount of data collected as “Best Practices” related to well drilling projects. Best Practices knowledge is critical to their employees for project safety and success. HAL is looking for a new system - Best Practices Promoter - to help key employees know and take advantage of this data in the easiest way possible.
We recently completed a Design Direction challenge that was part Information Architecture and part UX Design. Workflows were defined based upon user stories, background information, and exploration ideas. The challenge addressed the problems with managing Best Practice data. One problem is acquiring the knowledge without causing discomfort or disruption for the user. Another is disseminating the knowledge to the correct person, at the correct time. Yet another is ensuring that the information shared is valuable and provides a path to success. The winning solution proposed a structure for the application and is used as the guide for this UI Design challenge.
Goals to be addressed:
- Best Practice knowledge must be:
- Easy to access
- Known at the right time
- Valuable and current
- The tool should surface content based on each distinct user’s needs.
- Best Practices data should be delivered, shared and captured with the least possible effort and interruption.
- The tool should give users clear paths to share data and interact with one another.
- The tool must utilize current technology, native device features, automatic functionality, and the latest trends to enhance a seamless user experience.
What is Best Practice data?
A Best Practice is a set of procedures or guidelines that support a person, or the entire business, to reach their goals. In the Oil & Gas business, as with any activity, the knowledge gained with repetition should be taken into consideration to improve efficiency and lessen risk.

Glossary
- BP = Best Practice
- Lesson Learned = knowledge captured by anyone involved with the job. Lessons that are deemed valuable to employees may become BP.
- well = an excavation or structure created in the ground by digging, driving or drilling to access liquid resources
- project plan = the information (document) used to guide project execution, including schedule, task, and budget details
- repository = a central location in which data is stored and managed
- non-productive time = time that a task is on hold, not desirable. Employees are not able to work due to equipment failure, waiting for resources, etc.

A variety of users involved with the oilfield services industry, who provide and use Best Practice data related to well drilling projects. These users need this application to take advantage of the Best Practice knowledge, so they may work efficiently and safely.

Project Manager: Jay Newman
Typical work environment: indoor office
- Jay is a HAL Project Manager who plans drilling projects for many types of wells.
- Each well drilling project is broken into phases, each containing many tasks. When Jay is managing a project plan for constructing a well, he uses an application that shows him a schedule for his project. The template he uses to create the project plan automatically includes the best BPs related to each task. Note: The creation and management of the project plan itself is NOT part of the Best Practice Promoter UI at this time.
- In the Best Practice Promoter, Jay selects one of his projects to get insight to the BPs related to the tasks.
- If he wishes, Jay is able to manage the BPs attached to each task, and customize which BPs are included in his plan. He has the ability to search the BP data repository if he wants to add or replace any of the BPs included.
- The BP information is shared with the project’s Drilling Supervisor via Best Practice Promoter.
- Jay should be able to verify that the BPs are being seen and used by the Service Providers working on his projects. This metric would be shown as Compliance Rate. He may want to see this metric reported in various detail: overall for all projects, per project, per phase, etc.
- The saved project plan will be accessed by other stakeholders who may also wish to see this metric.
- Jay should have the ability to create a new BP to be added to the data repository.
Drilling Supervisor: Dana Smithson
Typical work environment: well drilling location, in an onsite office or outside at the construction site
- Dana is the Drilling Supervisor at a HAL well drilling project.
- At any point in her workday, Dana accesses the Best Practice Promoter to be aware of upcoming tasks assigned to her project’s Service Providers. With each task she sees the Best Practices they should know in order to do their jobs safely and efficiently.
- Dana must ensure that for each task, the related Best Practices are known by the individuals that will be involved. The Best Practice Promoter enables her to share the appropriate tasks with BPs with Service Providers, so they are prepared with the knowledge before beginning work.
- Dana should be able to verify that the BPs are being seen and used by the Service Providers. It is important for Dana to be alerted if an impending task includes BPs that have not been confirmed by the Service Provider in the field.
- Dana also knows that there could be BPs that are outdated or not useful for her specific project. Dana has the option to remove that BP from her plan. The Best Practice Promoter allows her to access and search the repository of BPs. She may connect an alternate BP to a task.
- At any time, Dana is able to select a BP for a task to rate its value or add a comment.
- Dana should have the ability to capture knowledge for a new BP to add to the repository.
- At any time, the Best Practice Promoter system may identify a BP that applies to the current situation or activity that is occurring. The system will push this BP to Dana with a notification there has been a change.
Service Provider: Alex Hammond
Typical work environment: well drilling location, outside at the construction site
- Alex is a drill operator working in the field on a HAL well drilling project.
- When Alex arrives at the work site for the day, he is notified that he will begin a new task that morning.
- Alex clearly sees that there are a few Best Practices important for him to know before he begins. He is able to access this information immediately and then confirm that he is aware and understands each of the BPs before starting the operation.
- At any time, Alex is able to add his knowledge to an existing BP or create a new BP. This is simple for him to do as much of the details regarding his project are automatically included based on his profile and project identity. He is easily able to name and enter a brief description of his tip.
- At any time, Alex is able to rate the value or add a comment to a BP.
- Alex is made aware of the tasks he will be completing the following day and has the ability to confirm that he is aware and understands the BPs related to them.
- At any time, the Best Practice Promoter system may identify a BP that applies to the current situation or activity that is occurring. The system will push this BP to Alex with a notification there has been a change.
- At any time, Alex can use his device to QRCode equipment used during the operation. Doing this could show him information including risk of failures and related BPs.

Project Manager Experience (Desktop)

SCENARIO: Note: These screens should be shown in a Desktop view.
- In the Best Practice Promoter interface, Jay selects a current project plan. He sees Practice information related to upcoming tasks for the week. The BPs attached to each task was automatically selected when the project plan was created, based upon their relevance and value ratings (reference: 2.1, 2.2)
- He selects one of the Best Practices he is not very familiar with to read the details. It looks valuable to him and he confirms that it should be included with that task (reference: 2.6)
- Jay notices another BP that he knows is outdated for the equipment being used at that site. He rates that BP as not valuable and removes it from the task. He searches related BPs and finds one to replace it in his plan (reference: 2.2, 2.3, 2.5)
- Jay saves his changes, knowing that the task will be updated with the new set of BPs for his Drill Supervisor and Service Providers to see (addition to 2.5)
- In the application, Jay is able to also see that all the phases of this project have a BP compliance rate that is very high. This reassures him that the project is going smoothly and the Service Providers are working safely (reference: 2.8)
Drilling Supervisor (Tablet)

- In the Best Practice Promoter app interface, Dana sees the list of tasks that the Service Providers on her project will engage with the following day. (reference: 3.1)
- Dana notices that one of the tasks includes a BP that seems confusing. She is able to select and see the details. On doing so, she sees that the description is not accurate. She edits the text and saves the BP with the updated description. Dana is also able to add a comment that she has made an update. She rates this BP as Very Valuable now that the details are correct (reference: 3.2, 3.7, 3.9)
- On another task, Dana sees a BP that applies to an outdated piece of equipment. She deletes this BP from the task so it is not shared. Dana knows that when she saves her changes, the information is updated for her Service Providers and other stakeholders. (reference: 3.2)
- During her day, Dana is made aware of heavy thunderstorms in the area. She knows this will impact one of the drilling tasks being completed. Dana knows that the system will automatically update and send an alert to the impacted Service Providers with an updated BP for them to follow (reference: 3.8)
- Dana has thought of a lesson learned from her experience with a recent drilling task. She is able to use the Best Practice Promoter to create this new Best Practice and capture the details. She saves this to the data repository for future use (reference: 3.6)
- Before leaving the Jobsite, Dana is able to check on tasks in progress and in the queue for the next day. She sees an indication of which BPs have been confirmed as used and which haven’t. Dana sees that one Service Provider has not confirmed a BP for his morning task. She sends a reminder to that user (addition to 3.2)
- She is also able to see an indication of BP usage on her project (reference: 3.9)
Service Provider (Phone)

- In the Best Practice Promoter app interface, Alex sees that he has been assigned to a drilling task for the next morning. There are 2 BPs attached to that task that he must know and confirm that he has received. (reference: 4.1, 4.5)
- While reading the details of the first BP, Alex notices that the safety instructions are not complete. He is able to quickly select and add this step to the description with a few lines of text, or a recording. He submits his change. He then confirms that he has used BP. (addition to reference: 4.7)
- The second BP is something that Alex feels will help him finish the task more quickly than he had anticipated. He is able to rate this BP as Very Valuable. He then confirms that he has used BP. (reference: 4.6)
- When Alex is at the worksite the next day, he is alerted to a Weather Warning. He sees an indication that his task has been updated and requires his action (reference: 4.9)
- He selects the task and sees a high priority alert of an additional BP for his use. He selects it and reads the necessary information about operating his equipment in the heavy rain. He confirms that he has used the BP (addition to reference: 4.9)
- Before leaving the site, Alex wants to add a safety best practice from his experiences that day. He is quickly able to add a BP in the Best Practice Promoter interface. Much of the details needed are automatically captured from his profile and assignment. He is quickly able to type in a few lines of text to describe the safety measures and saves the new BP. He sees a message that it has been submitted and is pending manager approval to be added as a BP (reference: 4.3)
